The procedures of automatic management of of Test Reports Shipments, Contracts (already provided in the Base Module of LIMS “Analisi”), as well as the Estimates and Invoices (managed by the respective Optional Modules) allow you to significantly alleviate the secretarial tasks and organize timely service of the documents transmission to Customers.
This service in fact allows them to take advantage of a number of advantages, such as :
- The availability of a test report immediately after its issuance
- The legal hold at the Laboratory informatic archives
- Easy document traceability
It may be awarded to a document a full legal status if it is signed with a Digital Signature to the requirements of Italian Law (DPCM February 8, 1999, the Consolidated 445/2000, as amended up to CAD Decree No. 159/2006).
In case the document is also a test report, the signature must be “qualified“: ie it must also be endorsed by the provisions of the professional associations as the digital signature must replace the professional association stamp.
Ie the Signature Certificate issued by the Certifier, must report (with the Professional Order consent) the entry in the Roll in question.
The Optional Module of “Analisi”, integrates the functionality offered by a widespread software for the digital signature (“Dyke”), allowing you to digitally sign simultaneously sending in a cumulative way, via email, of Test Reports and Invoices, depending on the method of delivery set for each Client.
Test Reports, digitally signed, can also be downloaded from the Customer, through the Laboratory Web Portal.
The digital signature can be Single or Multiple (Optional); The Multiple Digital Signature is installed when the Laboratory requires to formalize the signature of more than one manager on the same Test Report.
For example, in addition to the head of the Laboratory, must affix his “qualified” Digital Signature, the individual Responsible of the various departments involved in performing tests.
In this circumstance, the signature process is more complex than that required by the single Digital Signature, because, before the massive email sending of signed documents, is required by the software Module, the apposition of provided signatures.
The Remote Digital Signature with HSM (Hardware Security Module) technology is a mode of accessible Signature via Internet / Intranet by an accredited Certifier.
Often it is a massive signing documents (in the specific case, of Test Reports or Technical Relations).
In the case in which the Laboratory choose this mode, instead of the standard procedure of the LIMS Digital Signature, a specific procedure which operates in two steps is installed :
- Export of documents to sign in .pdf format in a HSM sync folder;
- Verification of the presence of signed documents and subsequent delivery of the same attached by email.
